Smash Wii U Central Ohio Smash Bros. Event (feedback needed)

Hey guys, I'm looking to start a Smash Bros. event (WiiU) in the central Ohio area. First, I've put together a few Google documents I'd like for you guys to look at and give input.

Smash Event Overview document: Includes general information and links to roles. Roles are volunteer services to help event such as a supplier or tournament coordinator. Note that the most important and probably easiest role to be is a supplier. Just bring your setup and share.

Smash Event Form: To help gain information on attendance, people who want to come are encouraged to fill out this short, 3 question Google Form to help us understand how many people will try to come. 10? 30? 50? We want to know!

So, here is my current plan:
  • Gauge interest and potential attendance
  • Using that information, scout venues. I have a few connections who can likely help. (Currently, I'm scouting locations around Lancaster Ohio.)
  • Contact everyone via Smash Boards for updates.
Goals for the event:
  • Have enough space, chairs, and systems for everyone to enjoy themselves. (A lot of Smash events I go to never have enough of these things. We will need to rely on Suppliers, a type of role I've identified, in the community for enough systems.)
  • Many hours of Smash. (~8 hours total, so block our your Saturday)
  • 5$ optional tournament, if we can get proper organizers. If you don't want to play in tournament, you can play casually.
  • Possibly food. I'm working with local help, but details are not known at this point.
OK, so that's what I have so far. This is my first time doing an event like this. If you can think of something I missed or something I need to change, let me know. I'm excited! : )

I've posted in several Facebook groups, the Smash Bros subreddit, and a note on craigslist. After a few days, feedback or not, I'll be moving forward with trying to figure out attendance.

Tomorrow on Saturday, I think I'll be opening up my form for attendance estimates. The goal here is to judge how many people want to attend and who are able to bring their setups.

I've changed my mind about the attendance estimates. I'll first try to get pictures of potential venues, then do the attendance poll.

OK, I have a few images of the first venue in Lancaster on Whiley road. I talked to the man in charge who seemed a little hesitant because he's not familiar with Smash or this type of thing, but it's possible I can convince him to let us have our party. I would guess we could get about 30 people in this room. There were about 5 outlets and you can see a large TV display we can also use.

The next place I'm going to look at I think will be better. It's a building next to a church off main street. They have a larger area, a men and women's bathroom right inside and a functional kitchen if we need it. I've heard there was a food poisoning incident there about a year ago which killed someone and sickened several others, so I doubt it's seeing much use. That could be perfect for us because they will likely be looking for a bump in activity.

To clarify, the food wasn't poisoned at this place, but instead already bad good was consumed at this place at some kind of event/meal thing. The food was ill-prepared at someone's home and brought in. A kitchen can't poorly prepare food by itself. People do that.
